Basic Function
Under the supervision and direction of the Database Administrator, in coordination with other members of Advancement Services, and in alignment with the goals and objectives of University Advancement: Manage daily gift deposits to the Business Office including analysis and processing of daily gift batches using Raiser’s Edge – a comprehensive, integrated, relational database system; manage the production of gift batches, control reports, batch reports, and receipts in accordance with Advancement's 48-hour turnaround policy; support the proper functioning, security, and integrity of the Raiser’s Edge and the Researchers’ Edge database applications; perform changes to biographical, gift, prospect management, and other constituent database information as needed; manage associated filing, recordkeeping, and other ancillary duties as needed for the support of Advancement Services.
Representative Duties
• Collect daily donations received by University Advancement, Business Office, KCLU radio station, and other university departments; evaluate, sort and total all donations made to the University and/or KCLU on a daily basis in order to create daily gift batches; balance gift accounts with the Business Office.

• Quickly and accurately manage gift analysis, processing, and entry of daily gift batches into the Raiser’s Edge application. Adhere to University Advancement's 48-hour turnaround receipting/acknowledgement policy.

• Analyze gifts to determine appropriate campaigns, funds, appeals for each gift to be processed; work in collaboration with, and select appropriate calling officer to write acknowledgment letter based on the above criteria and source of gift.

• Prepare monthly gift reconciliation reports for use by the Business Office.

• Produce various reports pertaining to the gift entry process, including departmental "Batch-Edit," "Gift Validation," and "Posting Control" reports.

• Demonstrate the ability to learn, change, and adapt quickly to new policies, as well as offer recommendations for system improvement.

• As a member of the Advancement Services team, advocate, support, and demonstrate confidentiality, integrity, security, and adherence to appropriate department and University guidelines when using the Raiser’s Edge and Researcher’s Edge applications, as well as any other application, file management system, or network owned and/or managed by the University.

• Quickly, accurately and appropriately add or change biographical, gift, and prospect management information in the database as needed.

• Assist in the organization, coordination and maintenance of hardcopy filing and scanning.

• Perform related duties as assigned.
Knowledge Of
• Basic computer skills and proficiency with Microsoft Windows in a professional networked environment
• Email and web browser applications; Microsoft Outlook and Internet Explorer preferred
• Relational databases; fundraising database applications preferred; Blackbaud’s Raiser’s Edge a plus
• Accounting principles and techniques
• Fundraising fundamentals; Higher-educational fundraising a plus.
• Basic operation of office machines such as fax, phones, printers, copiers, calculators, 10-key adding machines.
• English to speak, write, and type quickly and clearly.
Ability To
• Type quickly (30+ WPM preferred)
• Use 10-key adding machine accurately and proficiently
• Quickly and meticulously analyze and enter data into a computer application; understand the expected behavior of computer applications in a client-server networked environment
• Speak and write in English proficiently and clearly; communicate effectively both orally and in writing
• Use email and calendar applications to send/receive emails as well as schedule and maintain appointments
• Maintain focus, accuracy, speed, and high attention to detail in performing repetitive duties
• Learn complex data entry codes and procedures quickly

• Work well under pressure and with periodic heavy workloads and deadlines
• Work appropriately with information of a highly confidential nature

Education and Experience
• Any combination equivalent to graduation from high school and three years experience in professional office environment involving considerable data-entry computer work
• Some college desirable including courses in accounting, business, computer science and/or information systems; baccalaureate degree a plus
• Experience with accounting duties; practice with accounting principles and reconciliation
• Knowledge of fundraising principles and/or fundraising database applications, especially in a higher-educational environment a plus
• Competence in the use and operation of computers, especially repetitive data-entry
• Extremely detail oriented; ability to work with numbers quickly and accurately
• Exceptional organizational skills
