Basic FunctionUnder the direction of the Operations Manager of Facilities, perform as a point of interface between Facilities and the rest of campus for all communications regarding work orders and miscellaneous items. Assist with maintaining the data integrity of the department’s databases. Provide support to the various units in the facilities department.
Representative DutiesReceive requests for improvements to/and maintenance of campus facilities. E
Review requests and assigns priority as well as schedules tasks for routine maintenance. E
Track work orders and generate reports that ensure timely completion and customer satisfaction. E
Allocate material and labor charges to appropriate department or cost unit. E
Input data into the University energy management system including classroom and building operation schedules. E
Communicate emergency work to the Trades and Grounds Supervisors and forwards improvement requests to the Operations Manager. E
Assist with maintaining the integrity of the maintenance management database utilizing software that will generate work orders. E
Assist with the invoicing of campus departments for services rendered and generate activity, budget reports, and tracking of labor costs. E
Maintain project and vendor files. E
Receive requests for, and issue keys in accordance with Key Control Policy. E
Assist with tracking utility costs, reports on budget and usage variance. E
Provide assistance with departmental projects and purchasing of materials needed by various departments. E
Perform related duties as requested. E

Education and ExperienceEDUCATION AND EXPERIENCE
Equivalent to graduation from high school; and proficient in MS Windows NT, MS Word and Excel, plus a minimum of three years working in a fast-paced office environment.
LICENSE AND OTHER REQUIREMENTS:
Valid California driver's license.
Subject to driving a vehicle to conduct work.
Indoor and outdoor environment.
Reaching above the shoulder, overhead and horizontally
Seeing to perform and observe assignments
Dexterity of hands and fingers to operate computers and other equipment
Seated for extended periods of time
Hearing and speaking to exchange information
Work around machines and other office products.
