The "Check's" in the Mail

First of all, remember: an  e-address that is registered on our Microsoft Exchange server will be formatted as last name, followed by a comma, and then first name; in addition, the full name will be underlined; e.g., Jackson, Thomas. This format confirms that the address represents a legitimate, working account.

To verify a recipient’s address when on a PC, make use of the Check Names icon CheckNamesWOL.jpg on the Home tab of the Ribbon. Here’s how to proceed if using Outlook:

1. Create a new message.
2. Type all or a portion of the recipient’s name; e.g., Tom Jacks.
3. Next, click the Check Names icon.
4. If the directory has only one address that includes the characters typed, a correct address will immediately be resolved in the Exchange format; e.g., Jackson, Thomas.
If more than one account exists with these characters, a list will display and the correct one may be selected from the list.
If no account contains this syntax of characters, no options will be offered.

Short-cut Key on the PC Tip: Save time by holding down the Alt key and then tapping the letter K key (ALT+K) immediately after typing a few characters of the recipient’s name. This short cut will make quick work of formatting addresses for Outlook email messages.

To verify a recipient’s address on a Mac:

1. Create a new message
2. Position your mouse in the To: box, a new to box appears.
3. Enter all or a portion of the recipient’s name.
4. Next, click the Check Names icon.
All matching names will appear in a box under your entry; if no account contains this syntax of characters, no options will be offered.
