Reopening of Cal Lutheran offices

Cal Lutheran Faculty and Staff,

We write jointly today to thank you for the part you played in helping Cal Lutheran successfully launch our 2020 Fall Semester. Amidst the challenging circumstances, we have much to celebrate. We have welcomed 385 residential students to campus, are delivering instruction to 3,981 students, and are providing both virtual and in-person service to students.

As leaders of the pandemic planning committee, we are working with colleagues across the university to carefully and methodically design and implement a phased-in return-to-campus plan. This note outlines some important steps that move us in that direction.

On-site work: Starting next week, all vice presidents and deans will work with their units and divisions to ensure that offices on our Thousand Oaks campus and at our Oxnard Center open from 8 a.m. to 5 p.m. Monday through Friday. As part of this soft reopening, we expect that at least one employee in each office will be on-site at a time. Brief counter transactions will be permissible in offices. Supervisors will be expected to work with their teams so that on-site staffing levels remain at a threshold needed to maintain physical distancing in any space. Individual work arrangements and schedules will be approved by supervisors and the Cabinet member overseeing each division.

To facilitate the reopening of offices, all staff and faculty members will regain card access to the buildings in which they work starting Monday. Individuals who had not previously been approved to work on-site will no longer need to arrange for access when necessary. Most buildings will remain locked to prevent outside visitors from entering, so card access will be required.

If your department has facilities needs with respect to reopening, please send them to covid-operations@callutheran.edu.

M2MM (Mask-to-mask meetings): The EOC, in concert with the Cabinet, is working with county health officials to lift the restriction on in-person meetings on our Thousand Oaks campus and at our Oxnard Center. Starting next week, in-person meetings, including advising appointments, are permissible as long as they take place outdoors with people sitting six feet apart and wearing face coverings. No more than 28 people can attend a single meeting. Our colleagues in Facilities will bring back some of our outside furniture so that chairs will be available in shady spots around campus for such meetings.

Since the Cal Lutheran Compact remains in effect, please be reminded of the following protocols. They will aid us all in taking careful and measured steps that are part of the phased-in reopening.

  • Complete the Daily Health Check before coming on-site each day.
  • Maintain a minimum of a six-foot distance from others in both outdoor and indoor spaces.
  • Wear a face covering in all public spaces, whether indoors or outdoors. Gently remind anyone without one that face coverings are required.
  • Wear a face covering in any indoor office, lobby, or common area where other people have access. If you are in a private office with a closed door, you may remove your face covering.
  • Report COVID-19 symptoms, testing, and test results to supervisors andCOVID19reporting@callutheran.edu.

We know that several large institutions have not fared well with their reopening. It is our hope that by exercising great prudence; following county and state guidelines; exuding a sense of shared responsibility for ourselves, our students, and our co-workers; and using the beautiful and spacious outdoor space that marks many of our university sites, we can slowly and safely phase in a return-to-work-and-study plan. We believe that such a plan will allow us to offer the kinds of experiences our students want and deserve. Let’s all work together to do this as carefully and successfully as possible.
